Data protection information for the administration of applications to the Ethics Commission
Upon request, the Ethics Commission evaluates academic research projects involving human subjects, with particular attention to ethical and data protection aspects. The focus is on the protection of personal data, particularly through anonymization or pseudonymization, the responsible treatment of study participants, and measures to ensure voluntary and informed participation. The application for an ethics review includes a self-assessment regarding the responsible handling of ethically sensitive data and individuals. Members of EUF as well as researchers at the European Centre of Minority Issues (ECMI) may apply for a review by the Ethics Commission on this basis.
Processed data and purpose
a) Applicants
- For the administration of applications to the Ethics Commission, we process the following personal data from applicants:
- Details of the application to the ethics committee and information about the research project
- Applicants (name, institution, address, email address, phone number)
- Co-researchers, if applicable (name, institution)
- Signature
- Attachments, insofar as they contain personal data
- Participant information
- Consent forms
- Details regarding research data management
- Study materials (e.g., questionnaires, guidelines, protocols)
- Application to and/or assessment from another ethics committee
- Additional attachments (e.g., information sheets, supplementary explanations regarding the form, handling of incidental findings, text for later clarification)
b) External experts
In justified exceptional cases, the Ethics Commission may consult external experts for specialist advice, or request them to prepare an expert assessment.
In this context, personal data of the experts concerned is processed. This includes, in particular, personal and contact information (e.g., name, title, address, email address) as well as processing and contract data (e.g., correspondence, fee invoice).
Legal basis
a) Processing of data in connection with the application is based on the performance of a task carried out in the public interest in accordance with Article 6(1)(e) and Article 9(2)(i) GDPR, in conjunction with § 2(1) of the Statutes of the Central Ethics Committee and the Ethics Commission of Europa-Universität Flensburg and the procedural rules of the Ethics Commission of Europa-Universität Flensburg.
b) The legal basis for the processing of personal data of external experts is Article 6(1)(b) and § 11(2) of the statutes of the Central Ethics Committee and the Ethics Commission of Europa-Universität Flensburg and the procedural rules of the Ethics Commission of Europa-Universität Flensburg.
Recipients
Your data is processed by the Ethics Commission and, if necessary, transmitted to external experts within the European Union for consultation purposes, as well as to data processors; however, it is not transmitted to other third parties. No data is transferred to third countries.
Storage time
We process your data in accordance with the procedural rules of the Ethics Commission of Europa-Universität Flensburg in accordance with § 4(2) for a period of 10 years. If legal regulations require longer storage period, this will not exceed 30 years.
Necessity to provide data
You are not obligated to provide your data. However, without the provision of your data, the Ethics Commission cannot process your application.
Objection
