Processed data and purpose

For our collaboration with external partners such as suppliers, cooperation partners, guest speakers, lecturers, and other contractual partners, as well as for contractual agreements associated with such collaborations, we process the data necessary for this purpose, typically including master data, contact information, and processing data.

This data is also processed within the scope of current business relationships, provided it is necessary for the fulfilment of our contractual obligation, including internal documentation and administration.

Furthermore, this data is stored to comply with legal obligations (in particular tax-related retention requirements) and, where applicable, to assert and defend legal claims.

Legal basis

The following legal bases apply in this case:

  • Initiation or fulfillment of a contract — Article 6(1)(b) GDPR.
  • Compliance with legal obligations — Article 6(1)(c) GDPR.
  • The company’s legitimate interest in retaining data as evidence for asserting and defending legal claims — Article 6(1)(f) in conjunction with Article 9(2)(f) GDPR.

Objection

Storage time

Data is generally retained for a period of ten years from the end of the calendar year in which the data was saved (see in particular § 147 AO, and §§ 238 and 257 HGB).

Recipients

Your data may be transferred to our business partners or public authorities when it is necessary for contract fulfillment. These parties are contractually or legally bound to confidentiality. In addition, your data may be disclosed to authorities or courts if we are legally obliged to do so; furthermore, it may be disclosed to processors, but not to other third parties. Data transfers to third countries will only take place if there is a legal basis for this in accordance with Article 44 et seq. GDPR.

Necessity to provide data

Providing your data is necessary for the initiation or fulfillment of a contract. The consequences of not providing your data may include, for example, delays in processing your inquiry, failure to agree a contract, or termination of the contract.

Furthermore, the provision of your data is necessary to fulfill our legal obligations (in particular, documentation requirements). Failure to provide your data would result in our inability to comply with our legal obligations, which could make you liable for damages to us in the event of a penalty being imposed.
