Photography and/or video recordings at events

Purpose

Photographs and/or videos may be taken during events. Our aim is not to identify individual people, but to document the event. For documentation purposes, the photos and/or videos taken are securely saved by us and, where appropriate, also published on the internet (on our website and social media) as well as in print and online media. Furthermore, they are also stored for archival purposes.

Legal basis

The legal basis for processing in connection with our public relations work is the provision of information to the public regarding the fulfillment of our duties in accordance with § 2(8) HRG in conjunction with Article 6(1)(e) GDPR.

Right to withdraw consent

If you do not consent to being recorded or to the publication of the recording, please inform the photographer on site immediately. You can also contact us after the photo or video has been taken.

You may object to the processing at any time for reasons arising from your particular situation. To do so, please contact datenschutzbeauftragter-PleaseRemoveIncludingDashes-@uni-flensburg.de.

Recipients

Recipients of the data may include, in particular, press and media companies.

Storage time

The photos/videos taken are stored for as long as is necessary for the intended purpose. Photo/video recordings will generally be deleted immediately if they are not suitable for the purposes mentioned above, would infringe upon the legitimate interests of the person/people depicted, or in the event of an objection by the data subject.

Necessity to provide data

You are under no obligation to allow yourself to be photographed or recorded. Participation in events is generally possible even without consent; however, in such cases, you may not be photographed or recorded, or you may be asked to remain outside the recording area. Failure to provide your data will not result in any negative consequences for you.

Note

Please note, however, that when content is published online, it cannot be ruled out that third parties may store, modify, or redistribute it. We have no control over these external processes. Complete removal is not always technically possible and cannot be guaranteed under certain circumstances.

Live streaming of events

Purpose

For selected events, we would like to offer those who cannot be present in person the opportunity to follow the proceedings via a live stream of the event. Speakers are generally identified by name. However, individuals may also be captured on camera, such as visitors to an exhibition stand who happen to be within the camera’s field of view. Identification of these individuals is not intended, but cannot be ruled out.

The live streams are offered via common platforms (such as Webex and YouTube) and will generally be accessible to anyone. No further use of the recordings beyond the live broadcast is intended.

Legal basis

The processing (the recording and simultaneous transmission of videos) is based on our overriding legitimate interest in making the event accessible to as many people as possible. Event attendees will be informed on-site about the live broadcast and will thus have the opportunity to avoid entering the camera’s field of view.

Storage time

There is no intention to store recordings beyond the duration of the live broadcast. The recorded video and audio files are therefore deleted immediately after the broadcast.

Necessity to provide data

You are under no obligation to be filmed. Failure to provide your data will not result in any negative consequences for you.

Objection

If you do not wish to be filmed, we will offer you options to use our offerings without being filmed.
